How To Implement Capacity Building In Organisation

Employees are a key determinant of an organisation’s success and are often the face of the agency to customers and stakeholders. Maintaining a well-trained, well-qualified workforce is a critical function of an organisation.
The United Nations defines capacity-building as a process whereby an organisation strengthens its skills, instincts, abilities, techniques, and resources to thrive in a rapidly-changing civil society. This means that capacity building starts from within the organisation. The organisation is responsible for transforming the business into one that can keep up with all the changes in technology and the world.
Speaking on the topic, the group executive chairman of Lancelot Group, Mr Adebayo Adeleke, said that “staff capacity building is a crucial aspect of organisational development and ensuring the success of a business or institution. It involves providing employees with the necessary knowledge, skills, and resources to enhance their performance, productivity, and professional growth
“Also, capacity building is the process of building an organisation’s strength and resilience, which are vital for its health and continuity. Capacity is a measure of a business’s ability to fulfill its stated mission and involves a mix of strong management practices and regular assessment techniques (preferably digital) to ensure strong foundations.”
According to him, capacity building is essential for sustainability in any industry. Once an organisation has built up capacity reserves in every form, it can then focus on projects that align with its mission, rather than merely surviving from one project to the next.
He, however, said that lack of capacity-building initiatives leads to profit losses, instability and potential failure when difficult times such as recessions arise.
He emphasised that “building capacity strategically will help organisation to stay afloat and adapt to industry’s technological and social advances.”

How To Build Effective Staff Capacity
Identify Training Needs: Conduct a thorough assessment to identify the specific training needs of the staff. This can be done through surveys, performance evaluations, and discussions with employees and managers. Determine the skills and knowledge gaps that need to be addressed.

Develop Training Plan:
Create a comprehensive training plan that outlines the specific training activities, timelines, and resources required. Consider a mix of training methods such as workshops, seminars, online courses, mentoring, and on-the-job training to cater to different learning styles and preferences.
Provide Relevant And Engaging Training: Ensure that the training programs are relevant to the job roles and responsibilities of the staff.
Utilise Internal And External Resources: Leverage both internal and external resources for capacity building. Internal resources include subject matter experts within the organisation who can provide training or mentorship.External resources may include professional trainers, consultants, or industry experts who can bring in specialised knowledge and perspectives.

Encourage Continuous Learning:
Foster a culture of continuous learning within the organisation. Encourage employees to take ownership of their professional development and provide opportunities for ongoing learning and skill enhancement. This can be done through regular training sessions, knowledge sharing platforms, access to online learning resources, or support for further education.

Integrate Capacity Building With Organisational Goals: Ensure that the capacity-building initiatives align with the strategic goals and priorities of the organisation.
Foster A Supportive Environment: Create a supportive and inclusive environment that encourages staff to actively participate in capacity-building activities. Provide the necessary resources, infrastructure, and time for learning. Encourage collaboration, knowledge sharing, and mentorship among employees.
Overall, establishing a robust staff capacity-building framework that enhances the skills, knowledge, and capabilities of the employees will lead to improve performance and organisational success.
